Change a Teammate's Role
A person’s role decides what they can see and change. You can change it at any time, and the change takes effect the next time they load a screen.
The five roles
Section titled “The five roles”| Role | What they can do |
|---|---|
| Owner | Everything: people, giving, events, settings, billing, plan changes, and closing the church. Owners confirm each sign-in with a code. |
| Administrator | Everything day to day, including settings, campuses, imports and exports, and privacy requests. Cannot close the church. |
| Standard | The everyday work: people and households, events and attendance, volunteers, service plans, forms, lists and messages. Sees giving or children’s information only if given access. |
| View Only | Reads what a Standard teammate reads, but changes nothing. Buttons that would change something are not there. |
| Member | Your congregation, in the Member Portal. Their own schedule, their own giving, and forms for members. Never the staff screens. |
A Member is not a staff role. It comes from a person’s record or their first online donation, so you cannot pick it here. Portal members show in the list as Member with Portal Access underneath, and no role picker.

In the sidebar, choose Administration, then Users and Roles.

Find the person’s row.

Choose a new role in the Role column.

The change saves as soon as you choose it.
Good to know
Section titled “Good to know”- A church always keeps one Owner. Church HQ refuses to change or remove the last one. Make someone else an Owner first.
- Changing a role is recorded in the audit log, with who did it and when. See Review the Audit Log.
- Giving and Child Safety access is separate from the role. See Give or Remove Access to Protected Information.
